Privacy statement for applicants
Last updated on 28 July 2026
Pink Elephant (“we” or “Pink Elephant”) processes the personal data of applicants with care. This statement explains which data we process during an application, why, for how long, and what rights you have. It applies to everyone who applies to us, whether for a vacancy or speculatively.
Our general privacy statement applies to the general use of our website and services. This statement is specifically about recruitment and selection.
Who is responsible for your data?
Pink Elephant, registered with the Chamber of Commerce under number 32055081, with its registered office in Naarden and offices at Keienbergweg 100, 1101 GH Amsterdam, is the controller for the processing of your data in the application process.
Which data do we process?
We process the data you provide to us and data relevant to assessing your application:
- name, contact details and place of residence;
- your CV, cover letter and the information they contain (education, work experience, skills);
- data from our correspondence and conversations with you;
- data you have made publicly available that is relevant to the role, such as a LinkedIn profile;
- references, if you provide them and with your consent;
- any assessment results, if this is part of the procedure and with your knowledge.
We do not ask you to share special categories of personal data (such as health, religion or ethnicity). Please do not include these in your application.
For most roles we ask for a Certificate of Conduct (VOG). If the role requires it, a pre-employment screening may also take place. This happens at a later stage of the application process; you will be informed in advance.
For what purpose and on what basis do we process your data?
| Purpose | Legal basis |
|---|---|
| Assessing your suitability for the role and conducting the application procedure | Legitimate interest: filling our vacancies with suitable candidates |
| Communicating with you about your application and planning | Legitimate interest |
| Keeping your data longer for future vacancies (talent pool) | Your consent |
| Complying with legal obligations where applicable | Legal obligation |
Automated decision-making
We do not make decisions about your application based solely on automated processing. Decisions in the selection process are always made by people.
Who has access to your data?
Access within Pink Elephant is limited to the people involved in the procedure, such as the recruiter, HR and the hiring manager.
We use the recruitment system Recruitee (by Tellent) to process applications. This and other suppliers process data solely on our behalf and according to our instructions. We have concluded a data processing agreement with them that covers security and confidentiality.
We do not share your data with other parties unless we are legally required to do so.
Transfers outside the EEA
In principle, we process your data within the European Economic Area (EEA). For certain optional functionalities, a processor may process data outside the EEA. In that case, we ensure appropriate safeguards, such as the EU Standard Contractual Clauses.
How long do we keep your data?
We do not keep your data longer than necessary. Without your consent, we delete your application data no later than four weeks after the procedure has ended. If you consent to us keeping your data for future vacancies, we keep it for a maximum of one year. You can withdraw your consent at any time.
How do we protect your data?
We take appropriate technical and organisational measures to protect your data against misuse and unauthorised access. Only authorised persons have access, and our security measures are reviewed periodically.
Your rights
You have the right to access, correct and delete your data, to restrict processing, to object to processing, and the right to data portability. You can also withdraw any consent you have given at any time.
Would you like to exercise one of these rights? Send a request to privacy@pinkelephant.nl. To prevent misuse, we may ask you to identify yourself. We will respond to your request as soon as possible.
Questions or complaints
If you have questions or complaints about how we process your data, please contact us at privacy@pinkelephant.nl. If we cannot resolve it together, you have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
